Job Overview
The Senior Administrative Assistant will provide administrative and project support to the COO.

This is a regular full-time, site-based position. Non-standard work shifts may be required.

Duties and Responsibilities:
  • Collects, reviews, and analyzes complex and/or confidential data
  • Prepares reports, charts, budgets, and other presentation material
  • Provides high level administrative support in a variety of functions to COO, including but not limited to:
    • Coordinates daily calendars of senior managers
    • Schedules and coordinates meetings, travel, and other activities
    • Creates regular reports
    • Manages phone calls and emails
    • Respond promptly to COO’s queries
    • Facilitates internal communication (e.g. distributes information and schedules presentations)
    • Takes thorough notes (using OneNote) during meetings; includes capturing action items, ownership, and deadlines
  • Responds to or routes non-routine or confidential inquiries from external or internal sources with correspondence or other messaging
  • Monitors shared list or action items for COO And notifies of missed deadlines
  • Gathers KPI data from multiple sources and creates presentation media or document for review
  • Organizes and orders for company events (crawfish boil, holiday party, ice cream socials, lunches, etc.)

Project Duties and Responsibilities:
  • Assists with capturing Business Process Flow and creating charts
  • Assists with documenting detailed work instructions
  • Assists with creation of detailed flow charts of specific, defined, processes
  • Organizes process documentation across company
  • Monitors simple project plans and follow up to ensure deliverable deadlines are met

Required Skills/Competencies:
  • 3+ years’ Sr. Administrative Assistant experience
  • Advanced MS Office skills (Word, Excel, Outlook, Visio, PowerPoint, OneNote)
